Company


My client are a privately owned electrical contractor that have a fantastic reputation within the NSW market.


Bookkeeping and Accounting


Cash Flow Forecast

  • Update cash flow forecast daily. For further details please See 'Cash Flow Forecast Update Policy"


Accounts Receivable

  • Prompt project managers to prepare progress claims in simPRO around 20th of every month;
  • Ensure progress claims are submitted to clients no later than 25th and monitor process;
  • Push progress claims from simPRO to Xero;
  • Make sure clients send remittance advice;
  • Reconcile client payments with progress claims;
  • From time to time request clients claims summary.


Accounts Payable

  • Save received invoices in relevant project folder;
  • Drag and drop received invoices into
  • ReceiptBank; From time to time request supplier statements.


Payroll


Manage weekly payroll, in particular:

  • Ensure PMs submit timesheets no later than Tuesday 12 pm;
  • Compile and complete timesheet summary;
  • Transfer exact wages amount
  • Prepare ABA file and upload onto Bankwest;
  • Prompt Director to release payment on Wednesday morning.
  • Email payslips to all staff.


Employee Expense Reimbursements


Process employee expenses reimbursement in strict accordance with Expense Policy.


Office Management


File and folder management

  • Scan and file all documents received in hard copy onto appropriate folder on Google Drive. Subsequently, dispose of physical document.
  • Monitor folder and file names and ensure the 'Files and Folders Name Structure Policy' being adhered to.
  • Sanction those staff that do not adhere to the policy.
  • Minimise filing of physical documents to a struct minimum.


Personnel files

  • Collect all necessary and relevant documents from new employees and file in relevant folder.
  • Accompany new employee on boarding by following 'New Employee On boarding Procedures'. Follow instruction as detailed.


Office cleanliness


Make sure staff leave office in a clean and orderly state.


Remuneration

  • $30-$35p/h
  • Superannuation
